Managing Locations

The Locations feature lets you save the physical venues where your classes and services take place. Once saved, a location can be quickly assigned to any class or service, and your clients will see the full address and an interactive map on their booking.

To get there: Go to Tools in the left-hand menu, then click Locations.

What is the Locations module?

Locations is a central library of all the venues your business uses. Instead of typing an address every time you create a class or service, you save your venues here once and select them from a dropdown when needed. Any changes to a location automatically flow through to every class and service linked to it.

Adding a new location

  1. Click the Add location button in the top-right corner of the Locations page.
  2. In the popup that appears, enter a Location title — this is the name you’ll see when selecting the venue from a dropdown (e.g. “Main Studio” or “City Centre Gym”).
  3. Enter the Address. You have two options:
    • Type it directly into the address field. This also works for informal descriptions like “Location will be provided upon booking” or “Near Birmingham City Centre”.
    • Pick location from map — click this button to open an interactive Google Map. Search for your address in the search bar, then drag the red pin to the exact spot if needed. Click OK when done.
  4. Once an address is selected, a Map preview will appear confirming the pin location.
  5. Click Save to add the location to your library.

Editing a location

  1. On the Locations page, find the location you want to update and click the pencil (edit) icon in the bottom-right of its card.
  2. Update the Location title or Address as needed.
  3. Click Save.

⚠️ Important: Editing a location will update the address on all classes and services linked to it, including past ones. If you want to keep the old address on historical classes, create a new location instead of editing the existing one.

Deleting a location

  1. Click the bin (delete) icon on the location card.
  2. A confirmation message will appear: “Are you sure you want to delete this location? This action cannot be undone.”
  3. Click Delete location to confirm, or Back to cancel.

Reordering locations

You can drag your locations into any order you like — useful if you want your most-used venues to appear at the top of the list when assigning a location to a class or service.

To reorder, click and hold the grid icon (⠿) in the top-left corner of a location card and drag it to the desired position.

Assigning a location to a class or service

Locations are assigned when you create or edit a class or service. On Step 2: Where and When, you’ll see:

  • Attendance type — set this to In person to reveal the Location field. (If you select Online stream – via Zoom, the Location field won’t appear.)
  • Location — click the dropdown and choose from your saved locations. Each location is shown as “Location name · Address”. You can also type in the search box to filter by name or address.

How clients see the location

When a client views a class or service they’ve booked, the Class location section at the bottom of the page shows the full address and an interactive Google Map with a pin on the venue.

Tips

  • Use a descriptive Location title. The title is what you see in the dropdown when scheduling — a name like “Lordswood Boys School” is much easier to scan than just an address.
  • You can use free-text addresses. If you run outdoor sessions or pop-up classes where the address isn’t fixed, you can type something like “Location will be provided upon booking” in the address field. It won’t show a map pin, but the text will still appear on the client’s booking.
  • Create a new location rather than editing if you’re moving venues. Since edits affect all linked classes (past and future), it’s safer to add a new location when you change venues — that way your historical bookings keep the original address.
