ClassFit’s integration feature lets you link your client database in ClassFit with your Mailchimp account for effective email marketing strategies.

ClassFit’s integration feature lets you link your client database in ClassFit with your Mailchimp account for effective email marketing strategies. Now, you can effortlessly synchronize your ClassFit client list with your Mailchimp marketing list, ensuring new ClassFit clients get automatically included in Mailchimp. Let’s look at how to go about it and certain vital considerations you should remember.

Getting Started

On the Integrations page, find Mailchimp and click on the toggle button.

Log in to your ClassFit account, go to the left side menu. Click on Tools > Integrations.

At this point, you’ll have to grant access to ClassFit. You can create a new account here, although we recommend doing this beforehand. You’ll need to confirm this access.

Once you’ve logged in you’ll need to authorize ClassFit to connect with your Mailchimp account.

Almost there! Once redirected back to ClassFit, the final step is to pick the list you’d like your clients to join. Please note you can only select one list.

From the dropdown menu, pick a list and click Save – you’re all set! Your client list will automatically sync.

The client synchronization operates ONLY IN ONE DIRECTION.

Whenever a new client is registered on ClassFit or a client’s email address gets updated, they’re added to your Mailchimp account. However, if a client is REMOVED from ClassFit, they won’t be removed from Mailchimp. Likewise, altering their email address in Mailchimp WON’T change their email in ClassFit, and adding a new subscriber to Mailchimp WON’T add them to ClassFit.

Syncing can’t be selective, and you can’t ‘force’ a sync.

ClassFit synchronizes all active (not archived) clients with an email address. The first sync happens right after you integrate. Due to the one-way syncing nature, there’s no ‘undo’.

Only the client’s name, email address, and phone number are synchronized. No other data gets synced.

Archived clients are not included in the synchronization.

Nonetheless, archiving an active client won’t remove them from your Mailchimp list.

Clients are added to your list as ‘subscribed’.

This means they WON’T receive any double opt-in notification, regardless of your settings.

If you need any further help with this, please email hello@classfit.com.

On this page you can select your light and dark brand colors. Start by selecting your brand colors, you can do this by clicking on the color and using the color picker, or by inserting the hex codes if you know them. Once we have all of this we will use your branding on all customer facing emails that relate to your business, and create your custom branded calendar.

After you’ve added your brand identity, we’ll show you a preview of what your calendar will look like in your website. If it’s not perfect the first time, don’t worry, you can go back and keep tinkering with the colors until it is just right. You can rename the tabs on your calendar and choose which tabs will appear on your website.

Once you’re happy with your calendar branding, you can add it to your website. Click on Save and reload. Then scroll down, where you will see two lines of code. You will need to copy these lines of code onto the web page you want the calendar to appear. Where these lines go is slightly different depending on which type of website you have, so we will guide you through each website type below.

Adding your calendar to your WordPress website

Log in to your WordPress account and navigate to the page that you’d like to add your calendar to and select the “text” tab.

Now copy the first line of code from ClassFit.

Once complete, return to ClassFit and copy the second line of code.

Now paste this line of code at the very bottom of the page, after all the other text.

Finally, click update on your WordPress page.

Once you switch to ClassFit, getting you set up is easy. Here are some ways to start the transition:

Adding customers to contact database – If you are joining ClassFit, you may also wish to add a preexisting client list. If you have a large number of clients to add to your contact database, you may prefer the bulk upload function. You may click on this link for a more detailed instruction.

Add customers to classes they are already booked onto – When your clients have already booked themselves into your classes, there may be a need to manually add them to the classes during the transition. You can use this as a guide.

Add packages to customers and edit accordingly – After you add your preexisting client list, we can add the packages that existed in their accounts and edit them to reflect how many are remaining. Here is a simple step-by-step instruction.

Once they sign up, everything will be ready for them.

If you need any further help with this, please email hello@classfit.com.

If you offer services outside of classes we’ve got you covered.

If you offer services outside of classes we’ve got you covered. We’ve kept this process as simple as we could, while providing you with lots of flexibility to create services in the right way for you.

Create a service

Once you’re logged in to our website, you can create a service by clicking on Services > Service offerings on the left side menu. Then click on Create service.

From within Services you can then add your services as well as your instructor availability.

Creating a service is a lot like creating a class. Several of the fields are the same as creating a class which we discuss here, but there are a couple of differences which we’ll outline here.

Service instructors – Unlike with classes, you can add multiple instructors here so your clients can choose who they want to book the service with where applicable.

At what intervals to clients book – You might be super flexible and be happy for your clients to book at the 5 minute mark (9.05am, 9.10am, 9.15am etc) or you might want to keep bookings to the 10, 15, 30, or 60 minute intervals.

How soon can clients book this service (hours) – This ensures that you have enough notice when a client books. For example you wouldn’t want a client booking a service in one hours’ time if you were a 90 minute drive away from the location.

Buffer time before session (minutes) – This allows you to have a buffer time before the session should you need it to prepare.

Buffer time after session (minutes) – This allows you to have a buffer time after a session should you need it to recover / tidy up etc.

Once you’ve created your service, you will see it in your service screen. From here you can add more services, as well as edit and book customers into your existing services.

Setting your availability

Once you’ve created your services, you’ll want to set up your availability so clients can book your time. To do this go to Services and click on Team Availability. All of your team will be listed here.

Once you see your individual instructor’s calendar (as below), click on a day to set up your availability.

A popup will appear allowing you to set up your availability for this day. You’ll notice in the picture below that you can add multiple availability intervals to the day, which allows you to work around classes and breaks as required. And you can also apply this availability to all similar days of the week too.

Once saved, you’ll see your availability added to the calendar as below, which you can edit whenever you need to.

Once done, it’s over to your clients to book!

Are services visible to clients?

That is up to you. You do not have to add any availability, so a service can stay hidden and you can book people in manually. If you add the service to your studio and add availability, it becomes visible and clients can book it.

Changing repeating availability

You can change repeating availability on a service. When you make a change on a given date, ClassFit asks whether it applies to that date only or, for example, to every Thursday from then onwards.

Do clients need a ClassFit account (yes), how they create one, and how to move a group over to booking themselves.

Do clients need an account?

Yes. Every client needs a ClassFit account to book, so you can see who is booked, track attendance and manage packages. They create it the first time they book from your calendar or profile link, or you can add them under Clients > Add client and they receive a registration email.

Creating a participant account is exactly the same process as creating a client account. We have created a knowledge base tutorial on how to create an account here.

However, what we find is that some clients are resistant to change. This can especially be true if they are less tech-savvy and are used to you handling all the booking and admin for them. But as you’ve most likely switched to ClassFit to reduce your admin, it’s important that you overcome this dependency.

There are two things that we recommend to help you overcome this problem:

A two-step transition.

Let each person book in the “old way” once, or for a set transition period. Ask the group after class if they have all created an account on ClassFit or through your calendar integration on your website. If anyone says no, spend some time with them after class, making sure they set up their account and know how to book. This may save you a lot of time in the long run.

Creating a tutorial that is specific to your website.

If this is where you want people to sign up, our tutorial on how to sign up on ClassFit might not be right for you. If you are able to, create a tutorial which includes steps from your homepage through to registration and signing up for a class. This could be done with free screen capture software such as OBS which can be found here or with simple screenshots.

What does the client sign-up form ask?

The ClassFit client sign-up form does not ask where a client is from. If a client is asked this, it will have been added by a studio or instructor in their own client details.

Once you’ve created your services, booking a service is super simple.
Client bookings

Your clients can book your services from your calendar either on your website, or on your ClassFit profile page (as below). All they need to do is click on the Services tab on your calendar, and then click Book on the service they want.

After this they can select the instructor they’d like to book the service with. Then they can select the date and time based on your availability.

Finally they can pay for the service, and then they’ll be all booked in. Once booked both you and your client will receive a confirmation email about the booking. It will also be added onto your dashboard in the week ahead section, as well as the calendar in My Classes.

Manually booking in your clients

You can also manually book in your clients if you wish to. You do this by clicking Book on the service you’ve created.

Then you will see a small form, where you can choose who you want to book into the service, as well as the timings. Remember that if you take a manual booking you will need to collect payment from the client manually too.

Different countries have different standards and expectations when it comes to how we present the time. Because of this, we’ve created an option for you to set the time on your calendar widget in the format that will work best for you and your customers. To change the time format on your calendar, simply go to left side menu then click Settings. Go to Class settings and pick the time format that suits you as below.
